The Challenge

Southeastern Freight Lines (SEFL) is a leading Less-Than-Truckload (LTL) transportation company based in Lexington, South Carolina. The company hauls freight throughout the southern U.S. with a fleet of 2,000 tractors and 6,000 trailers. It operates from a network of 78 terminals in a dozen states.

Prior to partnering with Billtrust, SEFL’s 13 cash application employees manually processed paper checks and remotely deposited payments. They regularly saw posting delays of up to two days, which caused credit holds and customer service issues. On payment intensive days, additional employees were needed to prevent the Cash Application Department from falling behind.

The Solution

SEFL decided to partner with Billtrust after reviewing the testimonials of their other transportation customers. From there, they implemented their solution to extract data and remittances from paper payments. This now applies the payment data to open receivables and matches remittances to checks. Billtrust also deposits batches of checks at SEFL’s bank and posts data to their enterprise resource planning (ERP) system; SEFL now stores images of payment documents for future use.

The Results

Through the adoption of Billtrust, SEFL was able to create a unified accounts receivable (AR) team, reallocating employees to other departments, and avoid layoffs. The solution helped them reduce cash application staff to three employees, and eliminate nearly all manual data entry. Electronic image storage allows customer service representatives to address concerns quickly, increasing the productivity of multiple departments. Additionally, in-house data keying reduced annual AR costs by $86,400.
